Privacy Policy

Depending on how you use the Site, we may collect:

• Account information: your email address and an authentication identifier. If you choose Google sign-in, Google may provide your name, email address, profile image, and account identifier to our authentication provider.
• Participant profile information: first and last name, public display name, profile photo, province or territory, team, participation type, kilometre goal, optional Strava username, and optional Canadian Cancer Society fundraising-page link.
• Activity information: cycling date, distance, optional notes, and an optional link to a public Strava activity.
• Communication preferences: whether you consent to receive CholangioCycle email updates.
• Technical information: essential cookies, IP address, device and browser information, and security or diagnostic logs generated by our hosting and authentication providers.

We use information to:

• authenticate participants and maintain accounts;
• operate registrations, activity logging, profiles, sharing cards, and leaderboards;
• display event progress and administer the CholangioCycle challenge;
• moderate or correct inaccurate, unsafe, or inappropriate content;
• send event updates when you have consented to receive them;
• protect the Site, investigate problems, and comply with legal obligations.

The public leaderboard may show your display name, profile photo, team, kilometre goal, fundraising link, total distance, ride count, average distance, and leaderboard position. Recent event activity may show your display name, activity date, activity type, and distance. Do not use a public display name, photo, note, or link that you do not want other people to see.

Your email address, legal first and last name, province or territory, and email preferences are not intended to appear on the public leaderboard.

We use service providers to operate the Site, including Supabase for authentication, database, and file storage; Vercel for website hosting; and Google when you select Google sign-in. These providers process information under their own terms and privacy commitments and may process information outside Canada.

Optional Strava and Canadian Cancer Society links take you to third-party services. CholangioCycle does not control their privacy practices, and fundraising transactions are handled outside this Site.

The Site uses cookies or similar browser storage that are necessary for secure sign-in and session management. We do not currently use participant information for targeted advertising or sell personal information.

We retain information for as long as reasonably needed to operate the event, maintain appropriate records, resolve disputes, and meet legal obligations. We use reasonable administrative and technical safeguards, but no internet service can guarantee absolute security.

You may update your profile and communication preference through the Site. To request access, correction, or deletion of your account or personal information, email events@cholangio.ca. We may need to verify your identity before completing a request, and some information may be retained where required or permitted by law.

If you are not legally able to consent to these practices in your province or territory, use the Site only with the involvement and permission of a parent or legal guardian.

We may update this policy as the Site or our practices change. The current version and effective date will be posted on this page. Questions or privacy requests can be sent to events@cholangio.ca.
